Document the space. Protect the asset.
When a tenant vacates, landlords and insurers need an independent record of what’s actually there — and what condition it’s in. Our engineers survey every mechanical, electrical, plumbing, gas and fire-protection system, rate its status, flag deficiencies, and document the whole building with photos and Matterport 3D capture.
Existing conditions
Independent. Field-verified. On the record.
At the end of a lease, the question is always the same: what condition did the tenant leave the space in? Landlords and insurance carriers need a neutral, professional answer — not the departing tenant’s word for it.
Our engineers walk the building, tag every major system across all trades, rate its condition, and capture it with photographs and 3D scanning. The result is a single report that establishes the baseline for surrender obligations, insurance requirements and the next tenant.

What's in the report
Everything on the record, in one report.
- Systems status overview — every trade rated Normal, Monitor or Verify, with a one-line observation.
- Equipment inventory — every RTU, panel, heater, meter and device, with make, model, serial and rating where legible.
- Deficiencies & recommendations — findings ranked by severity, each with a recommended action and the responsible trade.
- Full photo index — labeled photographs of every system and condition documented during the site visit.
- Matterport 3D capture — a walkable digital twin of roof and floor, so the space can be revisited anytime.
- Verification flags — items to confirm with the AHJ, utility or landlord before the space is re-occupied.
FAQ
Frequently asked questions.
How is each system rated?
Each trade is scored on the same scale, so condition is legible at a glance — and defensible when a landlord, insurer or AHJ needs to act on it.
Normal — consistent with normal commercial use. No immediate action required; monitor under standard preventive maintenance.
Monitor — warrants attention. Not immediately critical, but should be addressed within the current capital-planning cycle or prior to new occupancy.
Verify — requires verification with the AHJ, utility, landlord or code authority before new occupancy. May involve compliance, permitting or service configuration.
What do you assess on site?
Rooftop units, exhaust, refrigeration and distribution; electrical service, metering, panels and branch distribution; water service, heaters, drains and fixtures; gas service, regulation and booster equipment; sprinkler, suppression, riser and fire alarm; and the roof surface, penetrations and building envelope.
Who relies on the report?
Landlords — a defensible record at surrender and re-leasing. Insurers — documented condition for coverage and claims. Property managers — a maintenance and capital-planning baseline. Incoming tenants — clarity on what they are inheriting.
